Your privacy matters to us.

This policy explains what personal information DIGIRAW collects, why we collect it, how we protect it, how long we keep it, and how cookies may be used on this website.

Last updated: 18 June 2026 Applies to DIGIRAW website visitors, enquiries and customers
Plain English Summary

We only collect what we need to help you.

DIGIRAW handles personal details, order information and customer media carefully. We collect only the information needed to respond to enquiries, manage orders, process payments, arrange delivery and provide our services.

We do not sell your personal data. We do not trade your details. We do not send unsolicited marketing.

Converted digital files are retained briefly for safety and delivery support, then permanently deleted. Personal order records may be retained where needed for accounting, tax, legal or legitimate business reasons.

2. Information we collect

We collect practical information needed to answer enquiries and complete orders.

The information collected depends on whether you contact us, place an order, send media to us, or ask us to quote for a project.

Information you may provide

  • Name and contact details
  • Email address and telephone number
  • Postal and delivery address
  • Order details, project notes and media descriptions
  • Payment confirmation details, but not full card information
  • Messages, enquiries, quote requests and support information
  • Information needed to return original discs or deliver completed files

Information collected automatically

Like most websites, our site may collect basic technical information such as general usage patterns, pages visited, browser type, device type and approximate location data. This helps us understand how the website performs and how visitors find our services.

Where analytics or advertising measurement cookies are used, they are explained in the cookie section below.

3. How we use your information

Your data is used to provide the service, not to spam you.

We use customer information for clear operational reasons connected with enquiries, orders, delivery, payment, record keeping and website improvement.

We may use your information to:

  • Respond to enquiries and quote requests
  • Process, confirm and manage orders
  • Communicate about your discs, files, delivery or collection
  • Prepare invoices and payment confirmations
  • Return original media and deliver completed digital files
  • Handle customer service questions
  • Maintain accounting and business records
  • Improve our website, services and customer experience
  • Protect DIGIRAW, our customers and the integrity of our services

Marketing

DIGIRAW does not send unsolicited marketing emails. If we introduce marketing communications in the future, we will provide appropriate opt-in or opt-out choices.

We may use general advertising or website measurement tools to understand whether our website and campaigns are working, but we do not sell your personal data.

4. Legal basis for processing

We process personal data under recognised UK GDPR lawful bases.

Different lawful bases may apply depending on how you interact with us.

Our lawful bases may include:

  • Contract: to respond to your order, provide the service, deliver files and return original media.
  • Legitimate interests: to manage enquiries, improve services, protect the business and maintain customer records.
  • Legal obligation: where we must retain records for accounting, tax, legal or regulatory purposes.
  • Consent: where consent is required, such as for certain non-essential cookies or future marketing preferences.
5. File retention and personal data retention

Digital files and personal records are handled differently.

This is an important distinction. Your converted media files are not kept indefinitely, but some business records must be retained for longer.

Converted digital files

Completed digital media files are normally retained for up to 30 days after delivery for contingency, download support and safe handover purposes.

After that period, digital media files are permanently deleted from our working systems unless a different arrangement has been agreed in writing.

Personal data and order records

Order records and associated personal data may be retained for as long as reasonably necessary for accounting, tax compliance, legal obligations, dispute handling, fraud prevention or legitimate business record keeping.

We do not keep personal data for longer than required.

Home video conversions may include complimentary cloud access for a defined period where offered as part of the service. This is separate from DIGIRAW’s internal working backup period.

6. How we protect your information

We use practical safeguards to protect customer information and media.

No online or physical handling process can be guaranteed 100% risk-free, but we take privacy and media handling seriously.

Protection measures include:

  • HTTPS encryption on the website
  • Restricted access to customer information
  • Careful handling of original media
  • Secure working practices for customer files
  • Limited file retention periods
  • Deletion of completed files after the retention period
  • Use of trusted service providers where required
7. Sharing information

We only share data where it is needed to provide the service or meet obligations.

DIGIRAW does not sell personal data. Limited information may be shared with trusted providers where necessary.

We may share limited data with:

  • Postal and courier providers for delivery and return shipping
  • Payment processors such as PayPal or card payment providers
  • Website hosting, email, form and technical service providers
  • Analytics or advertising measurement providers where applicable
  • Professional advisers where legally or commercially required
  • Authorities where required by law

International clients

DIGIRAW serves clients in the UK and internationally. Where personal data is transferred or accessed outside the UK, we aim to ensure appropriate safeguards are used in line with UK GDPR requirements.
